What is Realvolve Automation?

Realvolve has 2 automation settings which change the value of specific fields when other field values in the database are changed. (Settings > Automation)

  1. Category Automation - Automatically changes a contact's ABCD category to "B" if a referral is given or "A" if more than 1 referral is given.
    Leave this option OFF if you use the ABCD category differently.

  2. Field Automation - Automatically updates Contact Type, Contact Stage and Contact Status as the relationship progresses.  The rules of the field automation are listed below:

 

Which fields are Automated?

  • If the STAGE is currently assigned to Aware:  when a contact STATUS is assigned to Prospect or Lead then STAGE is upgraded to Know

  • If the STAGE is currently assigned to Aware:  when a tag of Buyer or Seller is assigned then contact STATUS is upgraded to Prospect and Stage upgraded to Know

  • If the CONTACT STATUS is currently assigned to Suspect:  when the STAGE is assigned to Know then the STATUS is upgraded to Prospect

  • If the CONTACT STATUS is assigned to Client or Past Client then the STAGE is upgraded to Like if Referrals = 0

  • If the CONTACT STATUS is assigned to Client or Past Client then the STAGE is upgraded to Trust if # Transactions > 0

  • If the contact has referred more than one person to you the STAGE is upgraded to Trust
  • When Connecting or Manually Entering Contacts to Party Members as Buyers(1-4) or Sellers(1-4)
    The system checks the Transaction Type to see who the agent(s) in the account are representing.   
    Transaction Type
    :  Selling Only, Buying Only, Selling and Buying

    If Transaction Type is: Selling Only or Selling and Buying then the SELLER(1-4) should be assigned to Contact Type: Client Contact Status: CLIENT because the user represents the Seller. Stage will be Like unless they are already Trust or assign to Trust if they have > 1 Property/Transaction or multiple referrals

    If Transaction Type is: Selling Only this means they DO NOT Represent the Buyer so if the user manually enters a contact name in the Buyer(1-4) then assign them to Contact Type: HIDDEN  Contact Status: NONE   Contact Stage: NONE

    If Transaction Type is Buying Only or Selling and Buying then the BUYER(1-4) should be assigned to Contact Type: Client Contact Status: CLIENT because the user represents the Seller. Stage will be Like unless they are already Trust or assign to Trust if they have > 1 Property/Transaction or multiple referrals

    If Transaction Type is: Buying Only this means they DO NOT Represent the Seller so if the user manually enters a contact name in the Seller(1-4) then assign them to Contact Type: HIDDEN  Contact Status: NONE   Contact Stage: NONE

    Note: If the transaction was created from one of our Properties then the transaction type is automatically set to  Selling Only since they are representing the seller  but can change the value to Selling and Buying if you also represent the buyer or another team member of the account is representing the buyer.
  • If the Transaction Type is CHANGED after Seller(1-4) or Buyer(1-4) are already connected - The system verifies that the SELLER(1-4) and BUYER(1-4) are assigned the correct Contact Type, Contact Status, Contact Stage as necessary (See Below).

    SELLING ONLY:  
    >Seller(1-4) Contact Type: Client, Contact Status: Client, Contact Stage: Like or Trust (if number of property/transactions > 1)
    >Buyer(1-4) Do not change any fields since the user does not represent them.

    BUYING ONLY:  
    >Buyer(1-4) Contact Type: Client, Contact Status: Client, Contact Stage: Like or Trust (if number of property/transactions > 1)
    >Seller(1-4) Do not change any fields since the user does not represent them

    SELLING AND BUYING:
    >Seller(1-4) Contact Type: Client, Contact Status: Client, Contact Stage: Like or Trust (if number of property/transactions > 1)
    >Buyer(1-4) Contact Type: Client, Contact Status: Client, Contact Stage: Like or Trust (if number of property/transactions > 1)

  • If the Contact Status is Client and the property expires/withdrawn the Status is changed to Past Client if no other property or transaction is currently active

  • If a contact having a spouse is assigned to Seller1 or Buyer1, automatically assign the Seller2 or Buyer 2 to the spouse

  • Automatically assign party members that are known users which are assigned to specific roles of a workflow.
